Background

Honkajoki is Finland’s leading processor of animal by-products and collects around 50,000 dead animals and 200,000 tons of slaughterhouse by-products annually. They wanted to create a logistics workbook that could serve as a template for their operations, and to develop software that supports their supply chain operations. The main challenges they faced was defining the processes and requirements for a new IT system, improving and documenting existing processes, finding ways to shorten lead times, finding optimal transportation solutions that are cost-efficient, and combining the needs of their own factory production with those of the slaughterhouses.

“Qlerify’s ease of use and versatility allowed the team to quickly and efficiently create process maps, link to documents, and collaborate on process improvements“

Arto Räikkönen, Logistics Manager

Solution

To address these challenges, Honkajoki engaged Simbain Consulting, a Finnish management consulting firm to map and analyse the processes and gather software requirements. The consultant recommended the use of Qlerify, a collaborative web application that simplifies the visualization and documentation of processes and requirements.

According to the consultant's experience, solutions like Visio, Excel, PowerPoint and Lucidchart are good for some purposes, but none of them are suitable for managing many purposes and many stakeholders. Qlerify is suitable for presenting a process to software developers, customers, substance experts, logistics workers and directors.

Qlerify provides a single workspace for all the project information and any number of team members can be invited to the shared workspace. This means that all stakeholders have access to the same information and can easily understand the processes and requirements and collaborate on process improvements. With Qlerify, Honkajoki uses only a few other documents and links them to the Qlerify process maps.

Results

Honkajoki found that using Qlerify simplifies their work by providing a common way of documenting process flows and requirements that can be easily shared with stakeholders. The tool helps to visualize and discuss processes and requirements, and the collaboration features enhances teamwork. Honkajoki also found Qlerify to be easy and versatile, enabling the team to map both “as is” and “to be” processes, and providing a summary of the service concept.

Value

The biggest value of using Qlerify is having all the information in one place, in a single workspace that can be shared with everyone. Without Qlerify, Honkajoki would need to create more separate documents. Qlerify’s ease of use and versatility allows the team to quickly and efficiently create process maps, link to documents, and collaborate on process improvements. The tool helps to clarify the processes and requirements, making it easier for all stakeholders to understand the logistics operations. Qlerify also has a feature backlog which Honkajoki can utilise in future development and as a summary of the service concept. Qlerify shows both the big picture and serves also in depicting details. Honkajoki has chosen to use Qlerify as the logistics process “master data” solution. Qlerify will also be used as the basis for creating visualizations of presentations and work instructions .

Conclusion

Qlerify is able to document and improve the processes for Finland’s leading processor of animal by-products by providing a web application that enables the team to visualize and document their processes and requirements. The tool’s ease of use and collaboration features enhances teamwork and allows stakeholders to easily understand the logistics operations. With Qlerify, Honkajoki is able to create a logistics workbook that could serve as a template for all facilities and develop software that supports their supply chain operations.
